PORTFOLIO ADMINISTRATOR

The Portfolio Administrator reports to the Portfolio Manager and supports the investment management team, and is responsible to coordinate the administrative aspects of client servicing. The Portfolio Administrator should have some familiarity with most facets of portfolio activity (e.g., status of acquisitions/dispositions, reporting cycles, and IMA requirements, as well as overall status of business plan goals and objectives). Additionally, the Portfolio Administrator should be capable of report production (document production and management, and final production).

Job Responsibilities
  • Prepare, distribute and ensure adherence to business plan and quarterly reporting schedules.
  • Coordinate preparation of required reports, including collecting all financial data, charts, research/market information, photos, stacking plans and other supporting documentation from the personnel responsible for producing it.
  • Review draft submissions of business plans and quarterly reports for missing, inconsistent or incomplete data.
  • Review client communications for content, consistency, accuracy and presentation.
  • Ensure adherence to all critical dates (reporting and non-reporting.
  • Coordinate with the Portfolio Manager and investment management team in responding to client requests and preparing special projects.
  • Maintain, and where appropriate, abstract Investment Management Agreements (“IMA”s) and amendments and distribute them to Portfolio Managers, Portfolio Controllers, and the CIO, including a critical date list.
  • Maintain IMA compliance file.
  • Maintain one set of finalized portfolio valuations.
  • Communicate with Risk Management and Tax Administrator regarding asset acquisition/disposition, and timing thereof.
  • Post completed business plans and quarterly reports to intranet.
  • Coordinate corporate filings for portfolio entities as required.
  • Maintaining various team web sites on the intranet and coordinating and preparing minutes of periodic meetings of these teams.
Requirements
  • At least five years experience in real estate or business related activities.
  • Familiarity with basic real estate concepts.
  • Proficiency in Word and Excel and other required software.
  • Proficiency in English and grammar.
  • Ability to learn and master new software.
  • Bachelor’s degree in Business or related field preferred, or comparable experience.

INTERNAL SALES REPRESENTATIVE

The Inside Sales Representative will work cooperatively with outside sales and other members of the distribution team to assist them in grow existing customers and create new customers in order to meet quarterly and annual sales goals. The Internal Sales Representative is a sales professional with strong relationship building skills, product knowledge and a passion for driving sales.

Job Responsibilities
  • Provide day-to-day support to the distribution team, Advisors and clients by handling a wide range of service and operational issues.
  • Setup and maintain client records in Salesforce.
  • Scrub data and complete missing information from “Activity Reports.”
  • Assist the distribution team in scheduling appointments or presentations.
  • Service client requests for sales materials or portfolio/industry data.
  • Assist distribution team in Prospecting: Identify key prospects.
  • Answer in-bound calls regarding full range of products.
  • Must continually broaden and refresh knowledge of the industry and firms products in order to be able to effectively position these products with advisors.
  • Responsible for abiding by all firm and industry compliance rules.
Requirements
  • Successful completion of Series 7 and Series 66 exams.
  • Familiar with CRM – Salesforce.
  • 3-5 years of experience in financial services industry.
  • Excellent communication and influencing skills..
  • High energy.

CLIENT PORTFOLIO ACCOUNT ADMINISTRATOR (CPAA)

The CPAA will become a member of the trading and operations team and administer and service client investment portfolios. This individual will play an important role on small teams assigned to client account relationships, helping to provide high level of service to firm’s clients.

Job Responsibilities
  • Portfolio cash management- attend to recurring and ad hoc requests.
  • Initiation of trades with various managers and custodians.
  • Preparation and distribution of daily, monthly and quarterly reports.
  • Interaction with all levels of management in the firm regarding client accounts.
  • Analyzing and coordinating the collection of quarterly management fees.
Requirements
  • Knowledge of portfolio administration and related performance issues.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Experience working with private, high net-worth clients and/or institutional clients in a wrap account environment.
  • Experience in trade settlement, bank reconciliation, handling security reorganizations and corporate actions, and daily pricing of securities.
  • Must be a team player.
  • Proficiency in MS Word & Excel.
  • Basic understanding of portfolio management issues a plus.
  • Proficiency in the use of Security APL, Market Street, and/or Omgeo systems a plus.
  • 1-2 years of post-undergraduate relevant work experience.
